Each page has the working tool at the top and the explanation underneath, so you can use it first and read later.

Move-out charge calculator

Enter an item’s install date, replacement cost and condition. Get a straight-line, prorated charge rounded to the nearest $50, plus a printable worksheet.

Appliance age finder

Pick a brand, type the serial number from the rating plate and get an estimated build date, the unit’s age and how much of a typical life is used.

Water heater age by serial number

The age finder filtered to water heater brands: Bradford White, A. O. Smith, State, Rheem, GE and Whirlpool.

HVAC age by serial number

The age finder filtered to furnace, air handler and outdoor unit brands: Goodman, Amana, Carrier, Trane and Heil.

Why we built them

Why we built these free property management tools

Invendoory records what is installed in every unit: make, model, serial, install date, expected life and condition. Two questions come up constantly when operators set that record up, and neither needs software to answer.

The first is “how old is this?” Plenty of units have no install date on file, and the rating plate is the only evidence. The second is “what do we charge at move-out?” That answer depends on age, expected life and condition, and it is easier to defend when the math is written down.

So we built a free tool for each. They are useful on their own, and they show the thinking behind the same calculations inside the product.

A move out charge calculator you can show a resident

The move out charge calculator uses the same straight-line math as the Prorate Calculator in Invendoory. Remaining life times replacement cost times a condition factor, rounded to the nearest $50. Excellent and Good count at 100%, Fair at 50%, and Poor items are excluded from the total.

It is built for the moment a resident asks how you got the number. You can show the formula, change an input and print a worksheet. It does not give legal advice, and it does not know your state’s rules, so review any charge with property counsel.

  • Straight-line depreciation, one formula for every item
  • Editable expected life per row
  • Printable worksheet from your browser

An appliance age finder for equipment with no paperwork

The appliance age finder decodes the date code in a serial number. It covers 14 brand rules across water heaters, HVAC, appliances and garbage disposals, from Bradford White to Trane.

It is an estimate, not a record. Manufacturers rarely publish a consumer decoder, so the rules come from the manufacturer where one exists and from third-party references where one does not. When a code repeats every 12 or 20 years, the tool shows the most recent year first and lists older ones. The rating plate and manufacturer support are the authority.

  • Brand-by-brand rules with the format explained
  • Typical life and percent of life used
  • A plain “can’t date this” answer when a serial is not covered

What these tools do not do

Neither tool needs an account, and both run in your browser. Neither one connects to your property management system or keeps a record of what you tried.

The age finder does not read every serial. It cannot date a unit whose code is outside the rules we researched, and it says so instead of guessing. The calculator does not decide what is chargeable. If either tool leaves you with a question, check the rating plate, the lease or your counsel.

Free tool questions

Are the free property management tools really free?

Yes. Both tools are free to use with no signup, and you do not need an Invendoory account. They run in your browser. If you later want the same logic applied to every item in every unit, the live demo shows how Invendoory does it.

How accurate is the appliance age finder?

It gives an estimate of the manufacture date. Install date is usually a few months later, and some codes repeat every 12 or 20 years. Treat the result as a strong clue, then confirm it against the rating plate or ask the manufacturer’s support line.

Can the move out charge calculator tell me what I can legally deduct?

No. It applies one formula to the numbers you enter. What you may charge depends on your state’s law and your lease. Review the results with property counsel before you issue a statement to a resident.

Does Invendoory use the same math?

The in-app Prorate Calculator uses the same straight-line formula, with install dates, replacement costs and conditions taken from each unit’s record. The free calculator is the single-item version you can try without an account.

Which serial numbers can the age finder read?

It reads serials for 14 brand rules, including Bradford White, A. O. Smith, State, Rheem, Goodman, Carrier, Trane and GE. Older or less common formats come back as “can’t date”. Each brand page lists what is and is not covered.
